Minutes of CAC Meeting on November 14, 2000 3:00 pm Room 122 Korman Computing Center Members Present: Jan Biros, Ken Blackney, John Bielec, Mark Greenberg, Ken Barbee, Chuck Haas, Peter Bartscherer, Tom Wiekowski, Junho Shin Guests: Jeff Popyack,Michael McCabe Members absent: Abby Goodrum, Robin Carr, Frank Harvey The meeting began with a brief discussion of the missing keyboard and mouse in Disque 108 lecture center. IRT is providing loaners until new pieces are ordered. A suggestion was made to secure those pieces. Jan indicated she would look into it. (Chris Gibson has already taken measures to lock down the keyboard and further secure the computer) Mark Greenberg indicated that the former Academic Technology Committee chaired by Dr. Shortie McKinney will be subsumed into the CAC and Shortie would attend CAC meetings to ensure prior issues are included in discussions. Ken proposed establishing a policy for those managing servers on campus to ensure that departmental server administrators are responsible in securing and maintaining their servers on campus to ensure that they are not weak and easily accessible links on our network. The committee favored the proposal so he will bring specific language to a subsequent meeting. The main agenda item was a discussion of the email policy on campus. Jeff Popyack raised the topic since he has been frustrated in not being able to reliably use email to contact all of his students regarding class issues. He said that many students do not have an email address and others use address from outside concerns. Thus, when a class mailing is done, many students do not receive it. He recommended that all official mailings be sent to students' Drexel email address to eliminate the problem. He was under the impression that that was the policy now. Michael McCabe explained that while we used to send everything to the Drexel email address and that was the official address that has changed since Banner allows users to enter their own "Preferred" email address. Ken pointed out that if there was any change to an official required email address it would have to cover everyone, faculty and staff as well affecting those departments with their own email addresses. Faculty did not see that as a problem. Jan pointed out that even if we made the Drexel email address "mandatory" individuals still have to activate it and if they choose not to they will still not receive their mail. Junho Shin questioned the limits imposed for large attachments and if forced to use the Drexel account if users would be limited and attachments would not be delivered. Ken said that his group would do some testing and report back. Two proposals were tabled for consideration. One proposal authored by Michael McCabe required everyone to use the official Drexel email address and would involve eliminating the option in Banner to enter a preferred email address. Users could then forward this to another address but we would be sure that they received all official correspondence at their Drexel account. The second proposal was prepared by Beth Hazeny and other IRT consultants and it proposed allowing users to retain their choice of email address to use but would make the Drexel email address the one used if no other was specified in the Preferred address field in Banner. It also detailed the responsibility users have for managing their accounts and any account forwarding to ensure it is current and correct. The committee decided to post both policies to their website and invite their colleagues and students to review them and make recommendations prior to the next meeting. IRT was also asked to centralize information regarding technology equipped classrooms on campus on the web so the information is easy to find. Jan indicated that IMS has done an excellent job of documenting the information and she will work with them to raise their visibility on the website.
